Flexibility + Collaboration for a Multi-Program Agency

In April 2022, The Groden Network partnered with Noteable to transition from paper records to a centralized, user-friendly EHR system for their ABA and data collection programs. The platform streamlined workflows, enabling easy access to client data and automated goal graphing. This case study highlights how Noteable’s flexible design and commitment to partnership helped Groden overcome common EHR challenges faced by multi-program agencies.

The Groden Network + Noteable

In April 2022, The Groden Network partnered with Noteable to transition their operations to a fully functional and accessible Electronic Health Record (EHR) system. Their top priority was moving away from paper records to save clinical staff significant time spent on filling out, searching for, and storing documents.

For their ABA and data collection programs, Groden required a system capable of housing all client information in one centralized, user-friendly location. Essential features included automatic graphing of goals, particularly behavior goals. Overall, they needed a platform to manage data, client records, and reports across their diverse programs without sacrificing ease of use for their staff. Jessica Boettger, Groden’s Director of Technology and Operations explained “We needed a place to hold all of our client information. We needed something that worked with all of our different programs. We needed a place to take data.”

With Noteable, they gained access to intuitive online forms that can be easily stored, updated, and adjusted as needed while also offering a comprehensive solution to streamline their workflows and ensure all client information and program data - for applicable programs - were accessible, organized, and simple to use.

Throughout the partnership, Noteable has worked closely with The Groden Network team to collaboratively grow and adapt the system, not only to meet Groden’s evolving needs but also to support other multi-program agencies like them. This partnership with Groden has been a mutual learning experience, and we deeply value the feedback they’ve generously provided over the years.

This study explores the challenges multi-program agencies face when searching for an appropriate EHR system and how Noteable addresses these challenges through intentional design, flexibility, and our unwavering commitment to partnership as a core value.

For a nearly 50-year-old organization that has largely relied on manual data collection, Noteable has been a game changer! We are excited to continue to roll Noteable out to the entire organization.

The Multi-Program Challenge

Multi-program providers face unique challenges when selecting practice management software that can meet their diverse and complex needs. From managing multiple workflows to ensuring compliance across various programs, finding a solution that offers flexibility, scalability, and ease of use is no small task. Many providers struggle with limited customization options, complex data management, and the high costs associated with comprehensive features. Additionally, ensuring staff adoption and maintaining secure, compliant operations across all programs can further complicate the search. So what is the Noteable difference that allowed the system to work for The Groden Network?

“Our team is having a great time with Noteable daily, we are using it differently for each different program. We are able to access client data more efficiently on the road and seamlessly pull reports along with other client details from the system that our team finds useful. It has helped us track staff productivity efficiently, complete billing more accurately, and largely helped with internal auditing procedures.”

- Jessica Boettger, Director of Technology and Operations

Noteable was designed with multi-program and multi-location partners in mind. Its intentionally easy-to-use, sandbox-style platform offers both scalability and flexibility, enabling it to work seamlessly across diverse programs in a way that staff find familiar and comfortable. Not only does this save time, but it also makes day-to-day practices significantly more efficient. The Groden

Network’s approach to rolling out Noteable at a pace that allowed their team to learn the system, use the resources provided from Noteable, and work closely with their assigned partner advocate to build a strong relationship exemplifies exactly what we envisioned—an implementation done right!

“The fact that you are able to build programs out the way you want them, and customize reports for each or have them shared across client charts is fantastic. When you need a report that’s similar with a few minor modifications it’s wicked easy for us to pull the report over and make the change ourselves. It’s integrated very well for us, people get comfortable with using it quickly.’’

- Austin Brown, Data Coordinator

Growing to operate 14 programs across 19 locations through any software is no small feat. As the saying goes, "Rome wasn’t built in a day," and The Groden Network’s success is a testament to that principle. Under the leadership of Jessica Boettger, Director of Operations, and Austin Brown, Data Coordinator, Groden took the time to learn the system thoroughly alongside their Noteable Partner Advocate and the resources provided by the software’s team. Their careful planning and openness to partnership enabled a gradual yet highly effective rollout.

The scalability of Noteable allowed them to introduce the platform to a handful of programs at a time, working closely with Noteable to customize the system for each program’s unique needs. This approach gave their team the ability to move forward with the adoption of this new platform confidently and in a way that already felt comfortable to their team without forcing a one-size-fits-all model.

By consolidating all programs, locations, staff, and client data into one unified space, Noteable has been a game changer for Groden, driving significant improvements in efficiency. However, the success of this rollout was not achieved in isolation—it was built on a strong foundation of collaboration and partnership that allowed for Groden to voice when a feature wasn’t making the cut for them or a significant piece of the puzzle was missing.

14 Programs

146 Custom Reports

There is a reason Noteable was built on a pillar of partnership. A collaborative team ensures that software is developed, maintained, and improved with input from various stakeholders, including end-users, developers, and industry experts. At Noteable, partnership has always been a core value. This collaborative approach fosters a deep understanding of user needs and pain points, enabling the creation of a system that aligns seamlessly with partners’ workflows and goals.

Throughout The Groden Network’s rollout process—and over the years as they’ve become more comfortable with the software—they’ve provided invaluable insights that have helped Noteable evolve to meet the demands of not just Groden but other larger multi-program partners as well.

“Parent Portal, client exports for data and demographics, reporting updates and exports, customized 837s—anything we’ve brought to Noteable has been addressed and improved or resolved!”

– Jessica Boettger, Director

Making Collaboration Key

From developing an all-inclusive client demographic export to customizing the 837 format for billing processes and integrations, Groden has worked closely with the Noteable team to refine features. Their ability to articulate needs and share thoughtful feedback has allowed us to analyze root causes, revisit designs, and deliver meaningful improvements. Their feedback on the need for scalable client exports led to the development of a feature that allows partners to pull any keyed information from a client’s chart into a customizable CSV file. This capability has since been widely adopted, empowering partners to extract detailed data from the system in seconds.

Groden was also an early adopter of Noteable’s Parent Portal, which enables reports to be sent directly to client treatment team members for review, signatures, or intake. Their suggestions helped shape this feature into a powerful tool that has since been made available to all Noteable partners.

What if it all went right?

The partnership between The Groden Network and Noteable demonstrates the power of collaboration, flexibility, and mutual growth in addressing the unique challenges of multi-program providers. By embracing, and truly taking the time to learn the platform, Groden has streamlined operations, improved efficiency, and unlocked new possibilities for managing client data and workflows across their diverse programs. Their journey highlights the importance of choosing a system that prioritizes adaptability and partnership, ensuring it evolves alongside its organizations’ needs. Noteable is honored to be that choice.
